In this training session, we’re going to look at one of the most versatile and best plugins for ChatGPT, which is the Zapier plugin. So what can we do with it and how do we go about using it?

Well, first of all you need to have the ChatGPT Plus account so that you have plugins in the first place and you need to make sure they’re activated. You may need to go to the beta features in your settings to activate the plugins and then we’re going to be able to use Zapier inside of ChatGPT and I’m going to give you some examples of how you can do that.

But it’s going to open up the doors to a whole load of possibilities for you about moving content around from ChatGPT that you’ve generated to somewhere else on another platform,, and you can actually create Zaps in Zapier and use ChatGPT from there as well. And that method is probably going to be better for things that are going to be done on autopilot so you’ll see why in a moment. But anything you do within ChatGPT using Zapier requires your approval. So each time you go in you do something, you have to press accept and then you create the Zap and action it. Whereas when you’re creating Zaps in Zapier it will just act upon when the Zap is activated and then put it through ChatGPT and send the data to wherever you want it or do what it is you need.

So it doesn’t require your manual intervention each time like it does when you’re using it in ChatGPT. But the good thing is that you now have the capability to connect to over 5000 different platforms by having this Zapier plugin. So the amount of use cases are crazy really. You have to think about your business and what you would like to happen and then build that zap or do that or act out that use of that within ChatGPT because there is just literally a limitless amount of combinations of software that you can join and that you can run through ChatGPT to do your bidding basically. So let’s go and have a look now in ChatGPT and we’ll go over just a couple of clever use cases that you might find useful.

So here we are then in ChatGPT. First of all you’re going to need to make sure down the bottom left here you go to settings beta features and then the plugins is switched on so that’s the first thing and we can only use it over here in ChatGPT Four. Then we’ll go to plugins and you can see I’ve already got it installed. But if you want to install it, what you’ll need to do is go to the plugin store, do a search for Zapier and then you’ll see it come up. Sometimes it can take a little while because this is still a bit odd.

I don’t know why it takes so long, but there it is. And then you’ll click install. As you can see, I have installed it already. So that’s why it’s saying that. So that means we’ve now got it and we’ve activated it.

Now don’t forget that we’re able to use Zapier with other plugins as well, so we don’t just have to have that one plugin. We could also use something like Web Pilot if we wanted to go online and get some information from a website or a PDF or wherever else and then use Zapier. So as I say, there is a multitude of use cases here and it’s about you thinking about which one of them is going to be most useful for your business and would already or perhaps speed up something you’re already doing or one of your team members is already doing. But here’s an example of how you would use it. You’re going to need to set up a Zapier account as well, if you don’t already have one.

Now, just to give you an idea, here’s the Zapier plans and pricing. You can use it for free. It would take care of 100 tasks a month. That is, let’s just say for example, you were to post 100 tweets with Zapier. That would be fine, that is free.

And then you can only do single step Zaps though. So one thing would activate it and then the Zap would go out instead of multisteps where you can do all kinds of different things and move data from one platform to another afterwards and all of that. So this might do for most people if you don’t have too many. Otherwise you’re going to be onto this starter plan here, which is $19.99 and gives you 750 tasks a month. Now something else you might be interested in, it really does depend on your use case, but is this one, I find this one is one of the most important things and that’s the update time.

So that is the time by which it will automatically activate the Zap. So say for example, you had a Zap come in that anytime you received an email you wanted this certain action to happen, it would activate that from within 15 minutes. So you’ll get the Zap would start and then it might take 15 minutes for it to then send that email out, which is why you need to get up to this level like professional. And even then it will take two minutes. So it could be quite an important part of this for you as to how quickly it will activate that Zap.

But if you were, for example, using say, ChatGPT to create a blog post or something, and then it was to be posted to a blog automatically by Zapier, to your WordPress blog, maybe then it wouldn’t matter necessarily that it would take 15 minutes to do it. So that’s something to consider, but get yourself a Zapier account ready to start using ChatGPT. And then we can ask ChatGPT to create a Zap for us just by giving it the command. So I could say something like, let’s just do this. I’d like you to create a tweet about AI technology and how it can help small business owners, and then post it to my Twitter account using Zapier.

There we go. So we just change that and off it goes. So now what it will do is get to work to create that tweet and then it will know to use Zapier because we’ve actually told it. But even if you don’t, if you were to just say, then create the tweet and post it to your Twitter account, it would know that by you having that activated Zapier plugin, that that’s what it is, it’s got to use. So, here we are.

It says, I’ve prepared the tweet for you, please review and confirm to post on your Twitter account. Once you’ve done that, if you frequently need to create tweets like this, we can set up a Zap workflow to automate the process. You just need to specify a trigger to use. So that’s what I was saying about you doing it individually in ChatGPT each time, or you having a permanently kind of live and working Zap that works within Zapier, because each time it’s doing this, we are always going to have to do this, which is review and confirm the Zap. And then it comes up here like this.

So we can now edit this if we want to, if we’re not entirely happy with the tweet. And then we can just click Run to actually post that tweet. The other thing is, of course, is I have already connected to Twitter with Zapier previously, otherwise it would be asking to connect Twitter to Zapier as well. So this is a bit smoother than how it would be for yourself. So why don’t we just press run just for fun, and then we’ll actually post that out on my Twitter account.

And there we are, you can have a look at the results. We can even go straight to the Twitter post as well. There you go. Look at that. It can automate routine tasks, provide insightful data analysis and enhance customer service.

So there you go. That’s a really quick and easy way to be able to post to social media. And of course, you can do this to any platform that is on Zapier. So literally anything. If we wanted to, we could also say something like this, can you create me a 500 word article on how AI can help small business owners?

Now, as you know, normally I would do a lot more to the prompt than that by talking about tone of voice, style of writing, target market, all of those kind of things. But it’s going to do it now anyway, because I wanted to show you that you can also put it somewhere else, like maybe you could put it into a Google Doc. Right, it’s got I prepared the article for you. Please again review and confirm to create it in Google Docs. Now, I didn’t actually specify I wanted it in Google Docs, but that’s fine.

It probably knows that I’ve already connected to Google Docs. So there it is, how AI can help small business owners. There’s the actual article. I can click Run and that should now write it to my Google Docs. And again, that’s just because I’ve previously connected, you can connect it to anything you want to.

There we go, show results. Here’s the document. And there’s our little AI article that’s been added to my Docs for me, which is great. So you can imagine the amount of things that you could use this for. It really is down to your own imagination and how it would best serve your business.

It’d be quite good, I think, for someone to maybe outsource article writing with ChatGPT, to send it to a freelancer who use ChatGPT to generate all of this great content and then send it to Google Docs and so on for you to have a look at and approve before it goes anywhere else. So that’s one use of it. Let’s try something else now. Now this is a little bit more technical, but I think this is a really good use case as well because we can have ChatGPT send emails and email responses for us. After someone either sends an email to a certain email address or they fill out a form.

And that’s what we’re going to do, we’re going to have somebody complete a form on a landing page and then it goes into Zapier. Zapier then uses ChatGPT to respond and send a response to that email based on what it is they’ve said in their email. So let’s see if we can set that up right now. So here’s my landing page and my form. And I’ve just set this up as an example.

But you can imagine there are so many great uses for this. I’ve put free advice on how to grow your website traffic. Someone could fill this out with a name, email, phone number, tell us the problem that they’re having, and then we can have ChatGPT look at that problem and come back to them via email with a whole list of helpful solutions. And then obviously we could have a call to action in there as well, that would say that we can fix all of this for you and would you like to book a call? So this is a great way of getting leads and offering value for just probably a couple of cents using the open AI API key.

So really, really good. So here we are then. Here’s the form, and I am just going to put in a problem right now. Let’s just put that in there. I’m having real difficulty in getting good search engine rankings in Google, despite my best efforts of creating regular useful content.

Full stop. I wonder if there’s anything else I could be doing to try and improve my rankings in Google. Full stop. Thank you in advance. Okay, so we’ll submit that form now, which is perfect, and we’re going to go over to Zapier.

And here we are. I’m going to create a Zap. Now, I was using Fast Funnel, my platform to create that landing page. So I’ll need to connect to that first. It’s actually called Web Connect on Zapier.

And then I’m going to choose the event. And you can do this with your landing page software, whichever you’re using, HubSpot and any of those other ClickFunnels and so on. They all work with Zapier, really WordPress, and then we’ll click New Form Submission, and then we’ll choose our account. My one is on Jason West. And I’ll continue.

And I’ve now got to just test that trigger and it will pull in the data from the most recent form. And there it is. You can see my details have gone in. And further down we should have there we go. In the test message.

There’s the problem that I wrote in there in a message field. So there’s our form. So you would just create a form on your platform and do exactly the same. Next up, we’ll need to connect to ChatGPT. And I’ve connected already to ChatGPT, but you can just literally follow the instructions.

All you need to do is go and get an API key and paste it into the box that pops up for Zapier. And you can get your openAI API key from here in the openAI account. If you have ChatGBT, you already have an openAI account and they give you the link to it anyway. And then you’ll just go to view API keys and create a new key. Call it whatever you want, click Create Key, and then you paste that key into Zapier.

But here we are. So I’m going to choose an event, and I would like to have a conversation with a ChatGPT. And there is my account. Ready? And this is where it gets interesting.

So this is what we need to do here is we need to actually input the message. So now I’ll just search for that particular field in my form, which has the message just here. There we go. And so now ChatGPT has got that information that was submitted in the form, the username. This is the person who is sending that message to them.

So that would be the person’s name. There we go. So we’ll put that in there, just delete off that, and then the assistant name would be me. So I’m just going to put in there Jason West. There we are.

And now the assistant instructions. And this is perhaps the most important part. This is the prompt that we’re giving to ChatGPT on how to deal with that input. So I’m going to put in there my own prompt and that will be I would like you to provide some useful information about how you can help the person with their website traffic problems. Please write an email back to them as if from me, in brackets, Jason West, and how you can help them.

Offer some helpful suggestions in the form of bullet points. And also sign off with a call to action, which will be we would like them to book a call if they need any extra help. Okay, there we go. So I’ll just tidy this up and then I’ll just put me in brackets just there. I always like to use the voice dictation as it’s just quicker.

There we go. And that’s it. And we’re going to use either 3.5. We can choose our model here. Depends what you have available to you.

I’m just going to go with GPT Four because that’s the most intelligent one. And then that’s it. We should be able to now test this out. So why don’t we do that and see what kind of a response we get from ChatGPT? It may not be right first time, but let’s just see what it says.

So it’s just going to take a few minutes because it’s going to be sending that message over to ChatGPT. ChatGPT is going to be thinking about it replying and then giving us the reply. And there we are. Look at this. This is the response that it wants to give.

Dear Paul, I hope this email finds you well. I appreciate you reaching out and I understand how vital it is to get improved search engine ranking for your website. And then I want to actually create a draft email, or better still, probably just send that email straight to the person. So there we are. We’ll go to send email. Then we’ll go continue. I’ll change my account.

Actually, why not just leave it there? I’ll leave it there like that. And now we’ll say two. Now this will be to the person’s name that was originally submitted. So in person’s name right there.

Okay. And reply to no, actually, this will be the person’s email address. So let’s go to email. There’s the email, the contacts email address. We don’t need to do any CCs or anything, but no, we’ll leave it like that.

But you could, if you wanted to get a copy of this response yourself from Value, I could just choose this email address. Or you can put in a name there if you want. I’ll just put in Jason West like that. Reply to we don’t need to. We’ll just leave that empty.

And then the subject would be good if we could get that from ChatGPT. Let’s have a little look here. I think we may not be able to get the exact subject because it’s given the entire response in one, but there may be a way to separate that out, actually. But for the moment, I’ll have a fixed actual subject line, and I’m going to say, Your personal SEO help. There we go.

And then the body will be right here. We only need it in plain text. That’s okay. And then we’ll go and grab this, the content from ChatGPT that it actually generated. And there it is.

It’s put it all in there. Now it’s included the subject line. And again, we can just adjust the initial prompt and not have a subject line, or we can separate that subject line out, but it’s just going to give it all in one thing here. For the purpose of this, I won’t bother with a signature because it’s included within the body there. We click continue, and then that is it.

We can test the action. So now, in theory, it should take that information and it should have sent it to my Gmail. And I’ll just drag that over now. There we go. And here it is, your personalised SEO help.

And there’s the email right there, sent to me automatically from me to this account. Now this is really, really powerful because you can be creating such goodwill by giving a fast, good quality response to, and a very customised and personal response to that person’s problem or whatever it is that they have submitted in that form. So I hope this gives you kind of food for thought. Now, again, we could test this out. Now if I just make this live.

Why don’t we just publish this quickly? There we are. And I will go now and delete myself from the CRM because otherwise it won’t do it because I’m already in the database. So I’ll just do that right now. So we’re back at our form.

This time, I’m going to call myself something else. There we are. Email address, we use the same one and then the phone number, whatever, and then this time we’ll give it ourselves a different problem.

I’d like to increase the traffic to my website, but for some reason I just can’t seem to get my pages indexed in Google. I wondered if you could offer me any advice on how to do that. Full stop. I have a big website, but just none of the pages are appearing in the index. Full stop.

There we go, form submitted. Now it should go straight to Zapier. And if we go to our Zap history, we should be able to see that having gone on. So we go to Zaps and then, oh, here it is, Zap history and Zap runs. And then we should see that one.

There it is. So that’s taking place right now, it’s playing through that. So that means it’s received the form, it’s gone to ChatGPT, and then it should be getting that response ready for us. And if we go to our email, I’m just back here any second now, we should get that email, come through with that personalised help. And there it is.

It literally took, I would say, less than 1 minute. And there we are, increasing your website traffic and getting indexed in Google. See, I would definitely try and make that subject line go into there. Might have to set some kind of multistep Zap to do that, just to separate it out, but I really like that. And there you go, look at that.
